Standard Conditions of Hire

Group

1. All new hirers of premises may be asked to pay a deposit of at least one third of the agreed cost of the letting. Such deposit shall normally only be refundable to the Hirer in the event of the Company cancelling the letting in pursuance of Rule 3.iii of the General Rules Governing the Use of Premises at PFI Schools by Third Party Organisations. (Where the Hirer is an approved organisation ie one registered with the Company as having used PFI school premises before, no deposit shall be required.)

 

2. The Hirer shall pay the balance of fees due before the conclusion of the letting as directed by the Company.

 

3. In the event of the Hirer wishing to cancel the letting the following cancellation conditions and charges will apply: Cancellation on day of the letting Fee charged at 100% of the agreed letting charge Cancellation within 1 week of the letting Fee charged at 50% of the agreed letting charge Cancellation with 4 weeks of the letting Fee charged at 20% of the agreed letting charge In the event of the Company cancelling the letting in accordance with Rule 3.iii of the General Rules Governing the Use of Premises at PFI Schools by Third Party Organisations, all fees, including any deposit paid by the Hirer shall be refunded to him or her.

 

4. The Hirer shall ensure that the General Rules governing the use of the premises, as supplied by the Company, are complied with.

 

5. The Hirer shall, at the time of making the letting agreement, inform the Company of their requirements regarding refreshments. All catering arrangement shall be made through the Company. No user shall undertake their own catering without the express written permission of the Company.

 

6. The Hirer shall, during the period of the letting, be responsible for supervision of activities and the premises in use, protection of fabric and contents, safety from damage however slight, or change of any sort and the behaviour of all persons using the premises in relation to the letting, including proper supervision of car parking arrangements so as to avoid obstruction of the highway and emergency exits.

 

7. The Hirer shall be responsible for obtaining any licenses necessary in connection with the letting, other than those already in place.

 

8. The Hirer shall be responsible for making arrangements to insure against any third part claims which may lay against his/her organisation as a result of using the premises.

 

9. The Hirer shall be responsible for the observance of all regulations appertaining to the premises stipulated by the Licensing Justices, the Fire Authority and the local authority.

 

10. The Hirer shall not sub-let or use the premises for any unlawful purpose or in any unlawful way nor do anything or bring on to the premises anything which may endanger the premises, their users or any insurance policy relating thereto.

 

11. The Hirer shall indemnify the Company for the cost of repair of any damage done to any part of the property or surrounds or the contents of the premises during or as a result of the booking.

 

12. The Hirer shall, if selling goods on the premises, comply with Fair Trading Laws and any local code of practice issued in connection with such sales.
